Every payment finds the right learner.
Karo is a fee system for Kenyan schools. A parent pays to your paybill, and the payment is matched to the learner, receipted, and taken off the balance — without a bursar retyping anything.

What it does
Fees are the part of a school that has to be exact. Karo is built around that.
Payments that reconcile themselves
Money arriving on your paybill is matched to a learner by admission number. Anything it can't place waits in a queue with the payer's name, number and amount, so it can be assigned in a click instead of vanishing.
Fee structures priced per grade
Enter Grade 1's price once and all three streams are billed the same. Boarders and day scholars can carry different prices for the same item.
Invoices for a term, in one pass
Generate a term's invoices for one class or the whole school. Where no price has been set, nothing is billed — a missing figure is never guessed at.
Transport priced by zone
Price the route, not the learner. A learner's estate places them in a zone, one-way travel is half, and the invoice line says which zone so a parent can see why their bill differs from a neighbour's.
A balance and a receipt for every learner
Every payment produces a numbered receipt. Every learner carries a running balance, and arrears can be listed by class or by size.
Attendance and timetables
A daily register sized for a phone, because that is what teachers actually carry, and a timetable grid that warns when a teacher has been placed in two classes at once.
Built for the way Kenyan schools run
Not a foreign system with shillings added. The vocabulary is the one your school already uses.
- Grades and streams. Price Grade 4 once; Grade 4 A, B and C are billed from it. Bill a single stream when you need to.
- Three terms. Fees, invoices and transport all belong to a term and roll forward to the next.
- Boarders and day scholars. Separate prices for the same item, on the same structure.
- Optional items. Lunch, transport, clubs and trips are charged only to the learners who take them.
- Your fee structure as it is written. Prices given as "Grade 1–3" or "Grade 7, 8 & 9" are read the way the sheet writes them.
Getting started
Setting a school up is our work, not the bursar's. Bring the documents you already have.
-
Send your fee structure
The stamped A4 sheet, photographed on a phone is fine. We transcribe it into Karo and read the totals back to you before anything is billed.
-
Bring your learner list
A spreadsheet of names, admission numbers and classes. It is checked and shown to you in full before a single record is created.
-
Connect your paybill
Payments start arriving against learners from that day. Cash and bank receipts are entered in the same ledger, so the balance is the whole picture.
Talk to us
We will walk your bursar through a live school on a call, or come to you if you are in Nairobi. There is no charge for the demo and no obligation after it.
